Cancellation Policy

At ouriceland.is, all tours and services are arranged through third-party vendors such as hotels, transport providers, airlines, and activity operators. Therefore, cancellation terms vary depending on the vendor, service type, tour period, and time of cancellation.


1. General Cancellation Rule

  • All cancellation requests must be made in writing via email to info@ouriceland.is.
  • The effective cancellation date is the date on which the written request is received.
  • Cancellation charges are applied as per the respective vendor’s cancellation policy, not a fixed slab.

2. Vendor-Based Cancellation

Each component of your tour may carry different cancellation terms, including but not limited to:

  • Hotels & resorts
  • Flights (domestic & international)
  • Airport transfers & private vehicles
  • Shared & private excursions
  • Premium stays (glass igloos, polar sky suites, luxury lodges)

➡️ Refunds (if any) are calculated service by service, based on what the vendor allows at the time of cancellation.


3. Service-Based Cancellation Examples

a) Accommodation

  • Cancellation policies depend on:
    • Hotel category
    • Season (low / high / peak)
    • Room type and inventory type
  • Many Arctic & premium properties are non-refundable once confirmed.

b) Flights

  • Flights are subject to airline fare rules.
  • Most promotional or discounted fares are non-refundable.
  • Date or name changes may attract fare difference and airline penalties.

c) Transfers & Transport

  • Private transfers usually have limited or no refund once assigned.
  • Shared transfers follow operator-specific cut-off rules.

4. Tour & Season-Based Cancellation

  • Cancellation terms vary depending on:
    • Travel dates
    • Seasonal demand (Aurora season, Christmas, New Year, school holidays)
    • Special events or peak periods
  • During peak seasons, most services become non-refundable immediately after confirmation.

5. Time of Cancellation

The cancellation charges depend on:

  • How close the cancellation is to the travel date
  • Whether vendors have already released or locked inventory
  • Whether services have been prepaid or issued

➡️ The closer the cancellation is to the travel date, the higher the cancellation charges, often reaching 100%.


6. Partial Cancellation

  • If one or more passengers cancel from a confirmed booking:
    • Package pricing will be recalculated
    • Any applicable single supplement or repricing will apply
  • Remaining passengers must bear the revised cost.

7. Cancellation by ouriceland.is

We reserve the right to cancel services due to:

  • Force majeure (weather, natural events, safety concerns)
  • Vendor non-availability
  • Operational or logistical reasons beyond our control

In such cases:

  • A suitable alternative will be offered OR
  • Refunds will be processed strictly as per vendor policies

8. Refund Processing

  • Refunds, if applicable, are processed only after receiving confirmation from vendors
  • Processing time: 14–30 working days
  • Bank charges, transaction fees, and currency conversion fees are non-refundable

9. No-Show & Unused Services

  • No refunds will be provided for:
    • No-shows
    • Missed services
    • Early departure
    • Unused activities, meals, or transfers

10. Travel Insurance

We strongly recommend comprehensive travel insurance covering:

  • Trip cancellation
  • Medical emergencies
  • Weather disruptions

Insurance claims must be pursued directly with the insurance provider.


11. Acceptance of Policy

By confirming a booking with ouriceland.is, the customer acknowledges and accepts that all cancellations are governed by vendor-specific, service-specific, tour-specific, and time-based cancellation rules.
